From Callers (End Users)
- Phone number (via caller ID)

- Call recordings and transcripts (where enabled)

Automatically Collected (Website / Service)
- IP address, browser type, and device information when visiting our website

- We do not knowingly collect sensitive information unless required for service delivery and provided by you.
- Clients control what business information they configure for their AI receptionist to use.

- To provide and operate our AI receptionist service
- To answer calls, qualify leads, book appointments, and send text messages on behalf of our Clients
- To process payments and manage subscriptions
- To improve service quality, reliability, and customer experience
- To send service-related communications (billing alerts, onboarding updates, security notices)
- To comply with legal obligations and enforce our terms
3. SMS and Text Messaging
When you interact with a business that uses GotBooked.ai, you may receive text messages related to your inquiry, appointment, or follow-up you requested.
How consent is collected
- Verbal consent during a phone call: if you request information via text (or ask for appointment details by text), our AI receptionist confirms consent before sending SMS (for example: “Would you like me to send that information to you by text message?”).
- Inbound text initiation: you may also initiate a text conversation by texting the business number directly.
Program details
- Message frequency varies based on your interaction
- Message and data rates may apply
- Reply STOP at any time to opt out of text messages
- Reply HELP for assistance
- Consent to receive SMS messages is not a condition of purchase.
We do not sell, share, or use phone numbers or SMS content for advertising or marketing purposes. Phone numbers and SMS opt-in data are never shared with third parties for their marketing use.
4. Call Recording and Transcription
Calls handled by our AI receptionist may be recorded and transcribed for service delivery, quality assurance, and dispute resolution. Call recordings are stored securely and are accessible only to the subscribing Client and authorized GotBooked.ai personnel.
Recordings are retained for a period of 90 days unless a longer retention period is required by the Client or by law.
5. Data Sharing
We do not sell your personal information to third parties. We may share information in the following circumstances:
- With Clients: Caller information, call recordings, transcripts, and booking details are shared with the business you contacted
- Service Providers: We use third-party services for telephony (e.g., Twilio), hosting, payment processing, CRM integration, and analytics. These providers process data only as necessary to deliver our service
- Legal Compliance: We may disclose information when required by law, court order, or to protect the rights and safety of our company, clients, or the public
6. Data Security
We implement industry-standard security measures to protect your data, including:
- TLS encryption for data transmission
- Encrypted storage for sensitive data at rest (where applicable)
- Access controls limiting data access to authorized personnel
- Security monitoring and least-privilege permissions
While we take reasonable measures to protect your information, no system is completely secure. We cannot guarantee absolute security.
7. Data Retention
- Client account data is retained for the duration of the subscription and for 30 days after cancellation
- Call recordings are retained for 90 days unless otherwise agreed
- Text message logs are retained for 90 days
- Payment records are retained as required by applicable tax and financial regulations

- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal data
- Opt out of text message communications (reply STOP)
